Events and Marketing Manager conference_hall

1. Tasks and responsibilities:

• Marketing for conference
• Responsible for conference marketing plan (utilized direct mail, internet, email, fax).
• Invoices preparation
• Budget allocation for the forums
• Research target audience for the conference
• Responsible for development of the content for website, brochures, promotional materials (both in Rus. and Eng.)
• Responsible for creation of media campaign around UK and Kazakhstan to promote the events
• Negotiation with caterers, venue managers, security services
• Responsible for HR to recruit freelance assistance for the events
• Close work with the media partners, both in UK and Kazakhstan (Habar, Panorama, Expert, BBC, Bloomberg, CNBC, GBR, etc.)
• Monitor stand designs, responsible for registration desk set‐up and budging
• Coordination of translation booth
• Responsible for the whole registration process during the forum
• On‐site Internet, audio, visual, photography, life teleconference
• Knowledge management/database administrator for the events
• Responsible for networking and membership portfolio update
• Organize all chamber’s events, forums
• Work with the Director of Business Development to develop the events programme and increase attendance and income
• Taking responsibility for the sales and marketing of the conference centre, including pricing,
promotions, image/brand and profile;
• Update chamber’s records (database administrator)
• Marketing research to identify opportunities for events
• Liaise with marketing and PR agencies, initiated, coordinated and helped to deliver
electronic and print marketing campaigns to promote the event
• Coordinate venue management, caterers, stand designers, contractors and equipment hire
• Manage the operation for processing delegate registrations, payments and liaison;
maintenance of records, including databases of target audiences;
• Work with members and partners to identify and evaluate new business and marketing opportunities;
• Work with the PR team to promote and maintain KBCC’s visibility in business and media
circles in the UK and Kazakhstan;
• Responsible for presentation development.
• Develop the ability to think logically and efficiently under pressure to troubleshoot within live events
• Professional and presentable at all times
• Strong communication skills
• Ability to work under pressure

2.    Personal Specifications:

The successful candidate will be working in a fast paced, pressurized environment within a small team. You will have to be creative and initiative and meet strict deadlines.
You will have an excellent grasp of the English, Russian and Kazakh languages both written and spoken.

Assistant Event Manager

1.    Purpose:

  • To assist the Events and Marketing Manager in organising events (conferences, forum) and promotional activity and provide general administrative support to KBCC

2.    Tasks and responsibilities:

  • To support the activity of the Events and Marketing Manager
  • Assist with sourcing and booking venues
  • Registering delegates both online and via post
  • Composing correspondence both on behalf of the Events team and senior staff
  • Confirmation and liaison with speakers- agenda creation- Liaison with governmental agencies and private companies
  • Resolving any invoicing queries and ensuring all delegates receive an exemplary level of customer service at all times
  • Liaising with hosts and guest speakers to ensure the event runs as smoothly as possible and everyone is fully briefed
  • Conducting post-event evaluations
  • Updating the organisation’s website, according to events
  • Managing all incoming and outgoing emails for the team and senior staff
  • Organising travel on behalf of the Events Managers as well as providing full diary management when necessary
  • Organise meetings for KBCC’s staff
